What’s New in NSB This Month

Schedule Board– The Schedule Board has been modified with different color sorting and new ways to track technicians. Now you can have your technicians enter time in-route and time arrived before an invoice can be created, fine tune the parts received schedule records to read only from the purchase order status, and set the first call of the day to stay at the top of the Schedule Board until the technician departs from the call. All of these settings can be found in Utilities/ System Files and the Schedule Edit screen from the Schedule Board. To learn in more detail about these changes, click on the Help buttons on those screens to see details.

Contact Management – The Contact Management module has been modified to better suit your receptionists' needs. Now there is one screen where you can create new messages, email them to people in or out of the office, receive feedback from the people who received the message, track status AND keep track of all this information while adding new contacts at the same time! This is seriously an awesome new tool that will help keep your phone book organized. To check this out, go to Contact Management and click on Phone Messages. Use the Help button located in the bottom right corner of the Phone Messages screen before clicking Run Report to help you navigate and understand all the features.

Accepting Credit Cards Through NSB – Are you interested in taking  your customers credit cards from anywhere? The NetServiceBooks program is ready to handle your transactions directly from the invoice! Did You Know…

Help Buttons & Elearn Training – It is very easy to learn a new section of the program by using the Help buttons located at the top of every screen. Go to a screen you are interested in learning, for example Work Orders in Schedule. Click on the Help button located at the top right side of the screen. A screen with a step by step guide of how to use the work order will appear. Minimize the help screen to a smaller size and keep it open as you enter information! The help screens are interactive with links to other help screens that may be relevant to the work you are doing.


Other New Updates & Changes

     Accounts Payable – A new selection under Maintain Vendors/Default Info tab called Do  Not Void Checks allows you to print a check without having to void several checks needlessly when printing a check that has multiple vouchers attached to it. To learn more about this change, go to A/P Maintain Vendors and click on the Help button. The E-Learn page for Maintain Vendor will open.

     Schedule Board -  The Schedule Board Color Legend has been split into 3 different categories; Preventative Maintenance, From Dispatcher and From Technician.

     Parts Request Board -  The Parts Request Status drop down has changed slightly; the Waiting On Vendor Info has been split into 2 categories: Parts Department Waiting On Vendor Info and Sales Waiting On Vendor Info.

What’s New in NSB This Month

Maintain Estimates – The Maintain Estimates screen has been changed to the new format for adding lines. Very similar to the Parts Request, Materials and Labor on the Estimate are now added without having to wait for the old pop-up box to appear. We are slowly working our way through the system to reformat all of the old pop-up ‘add lines’ boxes. We have also improved the Markup on labor and materials so you have 2 different markup equations instead of just one.Try it by going to Job Cost, Maintain Estimates and clicking on the Labor and/or Materials tab.

Maintain Jobs – Are you using Phases on your New Jobs/Estimates? Previously, if you wanted to enter all of your phases on a job you needed to remember to check the box when creating the new job/estimate. Not anymore! A new button has been added to Maintain Jobs that will import all of your default phases from Job Cost. Check it out by going to Job Cost, Maintain Jobs and clicking on the Phases tab.

Did You Know…

General Ledger – Are you using the General Ledger for your company? Do you have questions about the closing process? We have created a step-by-step guide to lead you through the closing process to generate your financials on a regular basis. Visit http://elearn.netservicebooks.com and look under the General Ledger Course or email cassy@netservicebooks.com to request an E-Learn book.

Contact Management – Are you familiar with all of the features available from the Contact Management module? Maintain Contacts can be used with the Sales Quotes Board to store calls for your sales people. When a Contact File is assigned to a Sales person, that contact data moves to the Sales Quotes Board and can be emailed to the Sales person. This can be a very useful tool for your receptionist to track phone calls and generate reports.

NetServiceBooks Works for You

We are still working on the program to accept credit card payments from customers in NSB. We are looking forward to implementing and testing the product in August and plan on having some results for you soon. We will keep you updated with the latest information.

The Quick Invoice is now more Flat Rate friendly! You can now import your Callahan Roach data file into the program to use flat rate on the Quick Invoice! If your company is already using Callahan Roach’s product, contact us today to help you implement your files!
